The voluntary cooling-off period is 72 hours from signing, reduced to 24 hours for a booking made on or after 1 August for the academic year starting the following September. It ends immediately when the student collects the room key and checks in. Cancellation during cooling-off must be emailed to the property team and releases the student with a full refund of the Advance Rent Payment. After cooling-off, inability to obtain a visa or failure to achieve the grades needed for the intended university course may qualify for release when satisfactory official evidence is emailed within seven calendar days of notification. If the tenancy has started, rent remains due until the room is vacated and cancellation is approved. For other cancellations, the student must find a suitable replacement and remains liable until the replacement moves in; the replacement fee is no more than £50.

The booking is confirmed when the Tenancy Agreement is signed. The agreement is legally binding once the cooling-off period has ended or the student has collected the room key and checked in, whichever occurs first. The property-specific booking details and signed agreement set the rent schedule and other requirements.

YourTRIBE describes an Advance Rent Payment rather than a holding deposit. It is fully refunded when a valid cancellation is made during cooling-off and otherwise is credited against the rent instalments in the signed payment schedule.
